Excel, SharePoint, Teams or Power BI: where do you start?

Almost every organisation asks the same question: where is the biggest gain for us? The answer rarely depends on which application is newest, but on where the work keeps getting stuck. Below is what the four most requested applications are good at, and where they stop.

Excel

Still the application that holds the most manual work. Lookup functions, pivot tables and Power Query take hours a month away from people who are currently copying and pasting rows. For many teams a single day of Excel returns the most, for an unglamorous reason: everyone has used it for years and almost nobody was ever taught it.

Where it stops: as soon as four people work in the same file at once, or the figures have to come out of another system every month, you run into the limits of a worksheet. A Power BI report or a Power Automate flow is the better place.

SharePoint Online

The foundation under Microsoft 365: what you share in Teams actually lives in SharePoint. A SharePoint Online course is therefore rarely only about buttons. It is about where documents belong, who may reach them, how metadata and views keep a library searchable, and how to set up a team site or intranet page that people genuinely use.

Where it stops: SharePoint does not fix a messy folder structure, it makes it visible. Move without tidying up first and you have only relocated the problem to the cloud. That is why we always ask about your current setup beforehand.

Teams

Where the work comes together: meetings, chat, files and calls. The gain is usually not in the meeting itself but in the agreements around it. When to use a channel and when a chat, how to prepare a meeting so the follow-up holds, and how to stop every project from becoming its own island.

Where it stops: Teams is not document management. The files sit in SharePoint, and without agreements about that the number of channels grows faster than the overview. A Teams training that skips SharePoint solves only half the problem.

Power BI and Power Automate

The step beyond the worksheet. Power BI puts figures from several sources into one report that refreshes itself, so the monthly reporting does not have to be rebuilt every time. Power Automate takes over the handling around it: a form that comes in and has to move on, an approval that passes three people, a reminder nobody needs to send any more.

Where it stops: both assume the data is findable and reliable. Automating something messy mainly produces mess faster. And what you may build on a standard licence has limits, and those are set out below.

Level

Beginner or advanced, and how to know beforehand

Almost every request starts with the question of whether it should be a beginner course or an advanced one. In practice a team is rarely at one level. Someone who has used Excel for ten years may never have met a pivot table; someone who started last year may know shortcuts the rest never use. So we do not fix the level in advance, we go and find it.

Before the training day every participant answers a short questionnaire about their own work: which tasks take the most time, what once went wrong, which actions repeat every week. That yields more than a knowledge test, because it fills the day with the work that is actually there instead of with practice files.

  • Beginner. For people who use the application daily without ever having had it explained. The aim is not completeness but confidence: the ten actions that come back most often, done right and without detours.
  • Advanced. For people who have the basics and get stuck on the work around them: files that grow too large, reports that demand manual work every month, collaboration that drifts. Lookup functions, Power Query, views and permissions belong here.
  • Tailored deep dive. For key users and functional administrators who help others along. The day is built around your own setup: your sites, your templates, your reports, plus the question of which agreements you record so it stays manageable.

If the levels in your group are too far apart, we split the day into two tracks or schedule two shorter sessions. That takes a little more time and avoids the classic outcome where half the room is bored and the other half drops out.

Licences

What is already in your subscription?

A large part of what organisations want to learn is possible with the licences they already hold. Another part needs an additional licence, and discovering that on the training day itself is awkward. So we check it beforehand. The outline:

  • Word, Excel, PowerPoint, Outlook, OneNote and Teams are in virtually every business Microsoft 365 subscription. Nothing is ever added here.
  • SharePoint Online as well. What differs per organisation is not the licence but the setup: which sites exist, who may create one, and what external sharing is allowed. Those questions belong in the preparatory call, not on the day itself.
  • Power Automate. With a Microsoft 365 licence you build automated, scheduled and instant flows on the standard connectors. Premium connectors, desktop flows and AI Builder fall outside it and require a separate Power Automate licence. For the work where most of the time is won (an approval, a notification, a file that lands in the right place by itself) the standard variant is more than enough.
  • Planner. Basic plans with the Grid, Board, Schedule and Charts views come with Microsoft 365. The premium plans, with timeline, dependencies, sprints and goals, require a Planner Plan 1 or a Planner and Project Plan 3. Our Planner Premium training covers that second form.
  • Power BI. Building reports works in Power BI Desktop without an additional licence. Sharing them with colleagues requires Power BI Pro, which some enterprise subscriptions already include.
  • Microsoft Project sits apart from Microsoft 365 and has its own range of subscriptions.

From practice

Why an Office course so often changes little

Nearly every organisation we walk into has had an Office training before. Sometimes two. And yet the team still works the way it always worked. Four causes keep coming back, and none of them is about the application itself.

  • The training was about the application, not about the work. A tour along all the menus shows what is possible. What a participant needs is the answer to the question they will have again tomorrow: how do I get this overview done faster.
  • People practised in an empty environment. Practice files with invented data translate poorly to real work. Where we can, we work in your own environment with your own files, and otherwise in a practice environment built as close to it as possible.
  • Nobody tidied up first. A training about document management in an organisation where five versions of the same file are floating around does not land. The first gain often sits before the training day, in the clear-out and in agreeing where things belong from now on.
  • There was no follow-up. Without a return session, without someone driving it and without sight of what it delivers, a single day disappears into the week that follows.

That is why our approach has four steps rather than one day, and why every assignment starts with a conversation about your work processes instead of about a syllabus.

By role

Same suite, different work

A controller, an executive assistant and a team leader open the same Outlook and use it for entirely different work. Training on generic examples therefore costs time nobody earns back. We match the examples to the role, and for three groups we have set that out on a page of its own.

And Copilot?

Where AI fits into this suite

Microsoft 365 Copilot now sits in the same applications: in the Word document that is open, in the Excel sheet, in the Teams meeting. That changes the conversation about Office training, though less than is often assumed. Someone who does not know how a pivot table works cannot judge whether the pivot table Copilot proposes is correct. And an organisation whose documents are not in order gets answers from files nobody asked about.

The order that works in practice is therefore usually: the skill and the tidy environment first, the assistant on top. What Copilot may and may not do in your subscription, which licence forms exist and how a rollout runs is gathered on the AI tools & Copilot overview. Where and how

At your offices, online or a mix

We are based in The Hague and train throughout the Netherlands. In practice we are most often at organisations in the Randstad (The Hague, Rotterdam, Amsterdam, Utrecht, Leiden and Delft), but distance is no obstacle: a day in Eindhoven, Zwolle or Groningen takes the same preparation.

  • At your offices. The most chosen form. Your own environment, your own files and your own settings, so that what is practised still holds the next morning.
  • Online. In Teams, preferably in half-day parts rather than one full day at a stretch. Useful for teams spread across several sites.
  • A mix. A day on site and a return session online a few weeks later, with the questions that only surface once people really start using it.

A training runs for one day as standard, with a maximum of twelve participants. A half-day workshop on a single topic is possible too, as is a series of short sessions spread over a few weeks. We train in English and in Dutch; for international teams the entire programme runs in English.

All our Microsoft 365 and Office training is in-company, so there is no rate per participant. What a day costs depends on the group size, the duration, the format and how much preparation it takes to work with your own files. Tell us what you are looking for and you will have a tailored proposal within two working days.

Yes. We are based in The Hague and train throughout the Netherlands, at your own offices. Amsterdam, Rotterdam, Utrecht and the rest of the Randstad are the most travelled route, but further afield works just as well. We also train online, which for teams spread across several sites is often the practical choice.

One day as standard. For Excel and SharePoint organisations often choose two, because the basics and the depth do not compress well into six hours. A half-day workshop on a single topic is possible too, as is a series of short online sessions spread over a few weeks.

Preferably yes, because then what is practised still holds the next morning. If your production environment is not suitable, for instance because personal data is involved, we set up a practice environment built as close to it as possible. We decide together what makes sense in the preparatory call.

Not for Word, Excel, PowerPoint, Outlook, OneNote, Teams and SharePoint Online: those are in virtually every business Microsoft 365 subscription. Premium plans in Planner, premium connectors in Power Automate, sharing Power BI reports and Microsoft Project each require a separate licence. We check that beforehand, so there are no surprises on the day.
